Kill tab sprawl as an agency.

One canvas per engagement. Sales call to invoice on the same surface. Your margin will notice.

If you run an agency, the cost of tool sprawl is line-item visible: every new project pulls Notion, Linear, Figma, Drive, Loom, and Slack into orbit. Every onboarding hour is a tax. This guide replaces the stack with one canvas per engagement and shows you what to drop, in what order.

01

Define the engagement shape once.

Make a template board with the columns you actually run: Scope, Kickoff, Delivery, Review, Handoff, Invoice. Add the cards each phase always contains.

Save it as your engagement template. Every new client is one click — board pre-named, dependencies pre-wired, billing milestones pre-set.

02

Stop selling in Notion.

Sell from the same canvas you'll deliver from. The SOW is the first frame. The deliverables list is the second. The client can see both via share link.

Closing rate goes up because the customer is buying a visible plan, not a doc.

03

Centralize delivery.

Attach assets to cards instead of mirroring them in Drive. The Drive folder still exists for raw files, but the board is the source of truth for what's delivered.

When the project closes, the board archives intact — searchable, replayable, useful for the next client.

04

Wire the money to the work.

Add a Stripe widget to the board. Tie invoice cards to milestones. The invoice goes out the moment the milestone closes — no separate billing meeting.

05

Hand off without three meetings.

On project close, flip the canvas to read-only and share it with the client's internal owner. Everything they need is one URL away.

If they don't have a tool to receive it, they can keep using the board — you've just shown them how you'd run it.

Margin in an agency is recovered in small places: onboarding hours, software seats, missed invoicing milestones. One canvas per engagement compounds those wins by removing the seams between them.
